Job Description
• Daily office operation
• To ensure office facilities (Repair and Maintenance, Cleaning, Security, Pantry, stationery, catering, if any)
• Conference and Meeting room arrangement (venue and refreshment arrangement and ensure meeting room
• facilities)
• Supporting company events (annual party/away day/ training and other related events)
• Local Transportation arrangement including shuttle bus service
• Sub-contractor management
• Responsible for Safety and security (CCTV, access control, ID card printing)
• Office Occupancy report
• Monthly expense report for expense tracking
• Manage cost not to exceed the approved budget.
• Responsible to check WPS invoices and data accuracy before submission to finance and approval person.
• Cost comparing and saving for purchasing. PO/ PR process, if any.
• Purchasing and control office asset and tagging
• Cooperate with finance for annual asset counting and also finance Asset disposal and capitalizing process If any.
• Cooperate with Procurement for site visits / enquires to local contact.
• Moving arrangements for all office assets not limited to employees’ belongings.
• Other onsite support as representatives of WPS
• Report an accident and incident to SHE (MCL safety manager) and executing action plan.
• Work permit issues for repair and maintenance jobs
• Cooperate with Safety for office SHE activities. (SHE = Safety, Health, and environment)
• Arranged Friday safety talk, if any.
Requirement
• Graduated in any disciplinary
• Proficient in MS Office
• Excellent organizational and time-management skills
• Outstanding negotiation skill
• Knowledge of office administration / facility management
